Scheduling, Communication, and Cancellation Policy

At Healing with Grace – Counseling and Ketamine Center, we value your time, your commitment to care, and the consistency of the therapeutic process. The following policies are in place to support respectful scheduling practices, clear communication, and continuity of treatment.

 

Scheduling Sessions

Your first appointment may be scheduled through our main office line or intake team. This allows us to help you get matched with the clinician and service that best fits your needs.

After the initial session:

  • Ongoing scheduling, recurring appointments, and session adjustments will be coordinated directly with your clinician.

  • Each clinician manages their own schedule and availability moving forward.

Therapy sessions are typically 50 minutes in length, unless otherwise noted.

Some specialty services may require extended appointment times, such as:

  • Ketamine-Assisted Psychotherapy (KAP)

  • KAP Preparation or Integration Sessions

  • Other specialized or extended-format services

Your clinician will review the expected session length with you as needed.

 

Communication Between Sessions

Clinicians are happy to support clients within appropriate professional boundaries.

  • Brief communication may occur through text, email, or phone regarding scheduling or logistical concerns.

  • Clinicians are not able to provide ongoing therapy or crisis support through messaging outside of session.

Please allow 1–2 business days for responses to non-urgent messages.

If you are experiencing an emergency or mental health crisis, please call 911 or go to your nearest emergency room.

 

Cancellation and No-Show Policy

Because therapy sessions are reserved specifically for you, we require a minimum of 24 hours’ notice for any cancellations or rescheduling.

  • Cancellations made less than 24 hours before the scheduled appointment time will be charged 100% of the session fee.

  • Missed appointments (“no-shows”) will also be charged 100% of the session fee.

This policy is necessary to maintain fairness, consistency, and availability for all clients seeking care.

 

Outstanding Balances and Payment Requirements

All session fees are due at the time of service unless prior arrangements have been made.

Please note:

  • Any outstanding balance must be paid in full prior to your next scheduled session.

  • Clients with unpaid balances may not be able to continue scheduling future appointments until the account is current.
